The Role
We are currently looking for an experienced Document Control Specialist to support a major mission-critical data centre project.
The successful candidate will take ownership of document control throughout the project lifecycle, from project mobilisation through to final acceptance and turnover. You will work closely with the project team, General Contractor, vendors and internal stakeholders to ensure that all technical records are complete, accurate, properly controlled and meet the required quality standards.
This is a key role within the Quality and Commissioning function, acting as a final quality gate for project documentation before records are submitted into the owner's document repository.
Key Responsibilities
- Review and edit project documentation relating to construction, quality and final acceptance to ensure completeness and accuracy.
- Manage and maintain document control requirements across the project.
- Act as a document repository gatekeeper, ensuring project teams, contractors and vendors follow the required document-control processes.
- Ensure consistency and standardisation of documentation across project management systems.
- Track, collect and organise hard-copy O&M documentation from QA teams and contractors.
- Manage documentation relating to both Owner Furnished Equipment (OFE) and Contractor Furnished Equipment (CFE).
- Prepare and package documentation for final project acceptance and handover to Operations.
- Work closely with project teams and other departments to improve documentation processes and assist with document-control requirements.
- Support standardisation and continuous improvement initiatives.
- Work collaboratively with multiple project teams, contractors, vendors and internal stakeholders.
- Provide support on additional documentation and project acceptance activities as required.
- Review and maintain awareness of relevant document-control policies and procedures.
Requirements
- 10+ years of Document Control experience, ideally within data centres, mission-critical environments or other highly regulated/critical industries such as oil & gas or nuclear.
- Strong understanding of technical documentation and document-control processes.
- Excellent attention to detail with the ability to identify inconsistencies, errors and incomplete information.
- Strong written and verbal communication skills.
- Proficient with Microsoft Office 365, including Excel, Word, Outlook and PowerPoint.
- Strong organisational and prioritisation skills.
- Ability to work effectively in a fast-paced project environment with multiple competing priorities.
- Strong analytical and problem-solving abilities.
- Comfortable working independently while collaborating with multiple stakeholders.
- Ability to communicate effectively with contractors, vendors, project teams and senior management.
- Ability to work flexible hours when required within a 24/7 critical facility environment.
- Willingness to travel up to 20%.
- Must be legally authorised to work in the United States without current or future employer sponsorship.
What We're Looking For
We're looking for someone who is highly organised, technically minded and extremely detail-focused, with the confidence to challenge incomplete or inaccurate documentation and ensure project records meet the required standards.
Experience within a data centre or other mission-critical environment is highly desirable, particularly where you have been responsible for document control through construction, commissioning, acceptance and final turnover.
Working Environment
This is a site-based role within a mission-critical environment. The position will involve a combination of office and site activity, including regular interaction with contractors, vendors and project teams.
The role may require flexibility around working hours depending on project requirements.
